Keys to Building a Successful Externship Experience

The SoHT Externships Process for HTM250 / HTM251 has been confirmed

Externship is a mandatory requirement for graduation for students in the Hospitality- Hotel and Restaurant Services Management (HTM) two-year diploma program. All students must be employed at a paid employment location for six months.

Your potential employer must be in Canada and complete the employer agreement form (below), be approved (vetted) by Seneca, and have the applicable insurance coverage. You need to be approved prior to starting your paid externship. Plan ahead, as this process takes up to 4 weeks for approval.

Externship - HTM250 is ONLY offered in the summer semester starting in May. During the enrollment period in April, you MUST add the HTM250 course to your schedule via VSB – visual schedule builder. You are registered as a full-time student while you are working for your Externship (HTM250 course).

Don’t forget to add the HTM250 to your timetable when enrollment begins in April. The approval confirmation email will be required and submitted when the HTM250 course opens.

The Employer Agreement Form needs to be completed before enrolling in the HTM250 course, which begins in May. All externship locations must be pre-approved. 

There will be assignments, blogs, etc associated with your work environment that will be submitted for marking/grading to your Externship professor, who will also monitor your progress. 

The approval confirmation email will be required and submitted when the HTM250 course opens.

International Students:

International students require a valid co-op work permit. If you require a letter to apply for your permit, please click the button below and fill out the necessary details.

 

Domestic Students:

Domestic students travelling out of province for a work experience including a co-op and work term must purchase Seneca’s Travel/Medical Insurance to cover basic health care needs.

 

SoHT EXTERNSHIP PROCESS

Pre-Approval Process

  • Student identifies an employer anywhere in Canada for their Externship.

  • Student checks if the employer is on the previously vetted and approved list by sending an email to SenecaSOHTEmployerInfo@Senecapolytechnic.ca

  • If the employer has been previously vetted and is on the approved list, proceed to complete the SoHT Online Intake Form.

  • If employer is NOT on the list, student provides the employer with the 2-page Employer Agreement Form and asks them to complete /sign and provide a completed copy to the student.

  • Student completes the SoHT online intake form and attaches what is being asked on the upload part of the form. It can be the completed Employer Agreement Form, Employment letter or any document that supports your Externship submission

  • Seneca properly screens/vets employer to ensure their legitimacy. Students will receive a confirmation by email within three weeks confirming pre-approval or denying the request

 

Vet Job

  • Once pre-approved by Seneca, students will secure employment for their paid employment opportunity with that employer.

  • Students will receive a status of their submission or confirmation by email from SenecaSoHTEmployerInfo@senecapolytechnic.ca regarding their submission.

  • Students must provide a copy of the approval email to show that their request has been approved.

  • Your HTM299 professor can provide you with a link that is a password protected list of pre-vetted employers.

    You can also check if your prospective employer is already on the vetted list by emailing SenecaSoHTEmployerInfo@senecapolytechnic.ca

  • To learn more about externships, please reach out to SenecaSoHTEmployerInfo@senecapolytechnic.ca via email, and they will connect with your prospective employer. 

  • You are required to do the pre-approval process again to get an approval message.

  • You are considered a full-time student with one class on your schedule. Not recommended to take other courses

  • The insurance mentioned on the Employer Agreement form pertains to the coverage for the business and not the insurance benefit for the student employee.

    Seneca requires all employers to confirm that the organization legally operates with the appropriate insurance.

    The specified insurance types are as follows:

    Work-Related Accident Insurance Coverage (WSIB) and Commercial General Liability (CGL) Insurance (mandatory)

  • You are required 6 months working experience in this class – shows you are responsible, and you can be employed passed probation

  • The final mark is inputted in December at the end of the fall semester.

  • The student has to start their hours again since this can’t be put on the resume.

  • The paystubs are used to calculate your hours worked based on your earnings and rate of pay. In this course, you will need to provide valid pay stubs as part of the submission requirement. These pay stubs are checked by your professor.
